Reporting on Sales Channel Activity

The sections of the Reporting tab associated with specific sales channels provide the information you need to assess channel performance.

 

Sales channel reports provide data on customers, orders, payments, shop credits, returns, fulfillment activities, and inventory levels associated with all of your sales channels.

 

These reports allow you to view an aggregate of all data across all of your sales channels for a particular day, or to filter data based on a specific date range and sales channel.

 

To access these reports, click the Reporting tab in your CommentSold dashboard. By default, this page will show data for all sales channels for the current date.

Overview of Sales Channels

 

To segment your sales channel activity reports by source, click the name of the channel you want to analyze from the top menu, or select All to view the combined values for all of these channels.

Sales Channel Reports

Contains

All

Reports based on activities for all active sales channels that are connected to CommentSold.

Facebook

Reports based on activities associated with the Facebook accounts that are connected to CommentSold.

Instagram

Reports based on activities associated with the Instagram business account that is connected to CommentSold.

Online Store

Reports based on activities associated with your CommentSold Webstore.

Admin

Reports based on activities authorized by the admin (owner) of the CommentSold account.

Product List

Reports based on activities associated with your product list (if enabled under Setup). 


The product list refers to a shoppable list of products that is displayed on your customers’ account page for easy upsells at checkout.

Mobile App

Reports based on activities associated with your CommentSold branded mobile app. 

Secondary Offer

Reports based on activities associated with Secondary Offer (if enabled under Setup). 

Secondary Offer is a feature that allows you to place a special discount offer on the checkout page of your webstore. Learn more about this here.

SMS

Reports on activities associated with any shoppable SMS texts sent from your CommentSold account.

 

At the top of each report, enter a start and end date to produce results for a specific date or date range. Click Retrieve to apply changes.

 

Whether you are viewing all data for all channels or segmenting reports by source or date, each report will generate the same data categories. Each is covered below.

 

Data in Sales Channel Reports

 

Customer Data

 

Customer data can be found in two tables, the Customers (Real-Time) table and the Customers table.

 

Customers (Real-Time)

 

The Customers (Real-Time) table shows a summary of customer data acquired to date. Date range filters do not affect this table.

 

Total Customers is the total number of customers acquired to date.

 

Messenger Users is the total number of customers that have opted-in for Messenger responses to date.

 

App Users is the number of registered users that have interacted with your mobile app to date. This row shows you the values for both iOS and Android.

 

SMS Users is the total number of customers who have opted-in to receive SMS text messages to date.

 

Customers

 

The Customers table shows a summary of customer data for the selected date range.

 

New Signups is the number of customers who registered for new accounts during the selected date range.

 

First-time Purchasers is the number of customers that made a purchase for the first time during the selected date range.

 

New Signups Which Use App is the number of newly registered customers that have signed in and interacted with your mobile app during the selected date range.

 

New Signups Which Have Facebook Data is the number of newly registered customers that signed in using Facebook during the selected date range.

 

New Signups Which Have Instagram Data is the number of newly registered customers that signed in using Instagram during the selected date range.

 

Average Customer Lifetime Value is the total revenue from all customers minus the cost of goods, divided by the total number of customers. This metric is used to predict the average total dollars you'll receive from a customer throughout their lifetime as a customer.



Order Data

 

Orders data can be found in a single table labeled Orders. The values shown on this table reflect the date range selected.

 

Number of Orders is the number of orders broken out by status (Total, Paid, and Fulfilled) and the number of products contained in each of those categories during the selected date range.

 

Average Order is the average payment after taxes, shipping, and discounts during the selected date range.

 

Average Time to Checkout is the average amount of time elapsed between customers adding items to carts and checking out during the selected date range.

 

Number of Products in the Orders is the number of products contained within the orders, broken out by order method, for the selected date range..

 

Orders Products Breakout is the number and percentage of products that were added to carts versus waitlisted during the selected date range.

 

To view Orders Products Breakout by Collection, click the View By Collection button. To view Order Products Breakout by Size, click the View by Size button.

 

Shipping Overview shows a comparison of shipping revenue versus actual shipping cost during the selected date range.

 

Shipping Revenue is the total dollar amount customers paid for shipping during the selected date range.

 

Shipping Cost is the total dollar amount your shop has spent on shipping during the selected date range.

 

Packages Shipped is the total number of packages that have been shipped out during the selected date range.

 

Gross Margin will show how much gross profit is generated on a percentage basis after taking costs into account. Gross margin is calculated by first subtracting the cost of goods sold from total revenue, and then divided by revenue. 

 

To calculate Gross Margin by collection, click View by Collection.

 

Total Returns ($) is a summary of price and cost of goods sold, along with return rates for products that have an order date and a return date (during the selected date range).

 

In the Total Returns row, you will see Price, COGS, Returned Items, and Average Days to Return.

 

Price is the total retail value of items sold and returned within the selected date range.

 

COGS is the total Cost of Goods Sold of all returned merchandise during the selected date range.  This calculation is based on the cost of acquiring these goods from your supplier, not on their assigned retail price.

 

Returned Items is the total number of items sold and returned during the selected rate range. This row also shows the return rate percentage.

 

Average Days to Return will show the average number of days it takes your customers to make a return after a purchase.

 

Total Partial Refunds ($) shows the total dollar amount refunded through partial refunds, along with the total number of partial refunds performed during the selected date range.

 

Payment Data

 

Sales channel reports show a detailed table of Payments, as well as a chart of Payments broken out per hour.

 

Payments

 

The Payments table shows a summary of customer data for the selected date range and source.

 

Total Payments is the total dollar amount of payments received from your customers during the selected date range time period. It excludes any store credit and coupons your customers applied during their transactions. This section also provides a breakdown of total payments through each payment gateway.

 

Product Revenue is the dollar amount of revenue (sales) that came from products (versus other categories like taxes or shipping) during the selected date range. Product Revenue does not factor in discounts, store credits, shipping, or taxes.

 

Note: Product Revenue can be higher than Total Payments if you are running a sale, since the Product Revenue is indicative of the retail price of the item, not what the price of the item is after a discount is applied by the customer.
 
Out of State Sales will show the sum of total payments of orders for which no sales tax was charged.

 

Shipping Revenue is the total dollar amount of shipping charged to customers during the selected date range. Note that the cost will not be updated until you generate the labels for the orders. 

 

Out of State Sales is the total payments made for orders for which no sales tax was charged.

 

State Tax is the total state tax charged to customers on their orders during the selected date range. Click the link to view in Avalara.

 

County Tax is the total county tax charged to customers on their orders during the selected date range. Click the link to view in Avalara.

 

Municipal Tax  is the total municipal tax charged to customers on their orders during the selected date range. Click the link to view in Avalara.

 

Cost of Goods Sold is the total cost of all goods sold during the selected date range. COGS is based on the dollar amount that your shop spent to acquire products from the supplier, not on the retail price. 

 

Shipping Cost is the total dollar amount your shop has spent on shipping costs during the selected date range.

 

Returns is the total retail value of items sold and returned within the selected date range.

 

Coupon Discounts is the dollar value of coupon discounts applied to orders made within the selected date range.

 

Gross Profit is the total dollar amount of profit made for the selected date range. This is calculated by taking the total payments received and deducting sales tax, cost of goods sold, and shipping costs.

 

Payments broken out per hour

 

Payments broken out per hour is a line graph that records payments per hour for the selected date or date range. (This is found at the very bottom of the report page.) Hover over the dots to view the exact dollar amount. 

 

 

Shop Credits Data

 

The Shop Credits table shows a summary of data for credits applied to orders and returns during the selected date range.

Order Returns During Time Period is the total dollar amount of credits applied to orders that have been returned during the selected date range.

 

Admin-Issued Credit During Time Period is the total dollar amount of credits that an admin has issued during the selected date range.

 

Loyalty Program Credit Issued During Time Period is the total dollar amount of credits that have been issued through your loyalty program during the selected date range.

 

Credits Issued During Time Period is the total dollar amount of credits that have been issued in through any and all methods during the selected date range.

 

Returns & Refunds

 

Returns & Refunds data is broken down in seven different tables:

  1. Vendor Returns
  2. Returns Reasons
  3. Returns by Payment Method
  4. Returns Handled by Employee
  5. Partial Refunds by Payment Method
  6. Partial Refunds Reasons
  7. Partial Refunds Handled by Employee

 

Vendor Returns

 

The Vendor Returns table shows returns by wholesaler brand during the selected date range. Data shown here is dependent on the manual entry of brand names when adding your inventory into CommentSold. Your report will only show information for returned merchandise that had brand names assigned.

Brand is is the name of the brand/supplier associated with returns made during the selected date range. 

 

The Returns column provides a breakdown of your returned merchandise by # of Products, # Returned, and Return percentage.

 

Returns Reasons

 

The Returns Reasons table shows an overview of the reasons why customers returned their products during the selected date range.

Reasons shows the reasons listed for the returns during the selected date range. Note that this column will only list the reasons that were manually entered upon processing the returns during this time frame.

 

Count is the number of returned products that are associated with each return reason during the selected date range. 

 

Total Cost is the total cost of the returned products associated with each return reason during the selected date range. This calculation is based on the cost of acquiring these goods from your supplier, not on their assigned retail prices.

 

Returns Handled by Employee

 

The Returns Handled by Employee table shows an overview of team members and the returns they processed during the selected date range.

 

Employee shows the names of any employees who processed returns during the selected date range. 

 

Returned Items Handled is the number of products in the returns that each employee processed over the selected date range.

 

Total Refund Amount is the total dollar amount the employee refunded for all returns during the selected date range.

 

Returns by Payment Method

 

This Returns by Payment Method table shows a breakdown of returns associated with their various payment methods during the selected date range.

The Processor column lists each payment processor used to purchase products that have been returned during the selected date range.

 

# Returns is the number of returns associated with each payment method during the selected date range.

 

Total Refund Amount is the total dollar amount of refunds associated with each payment method during the selected date range.

 

Partial Refunds by Payment Method

 

This Partial Refunds by Payment Method table shows a breakdown of payment methods associated with partial refunds processed over the selected date range.

 

The Processor column lists each payment processor used to purchase products that have been partially refunded during the selected date range.

 

# Partial Refunds is the number of partial refunds that are associated with each payment method for the selected date range.

 

Total Refund Amount is the total dollar amount of the partial refunds that are associated with each payment method for the selected date range. 

 

Partial Refunds Reasons

 

The Partial Refunds Reasons table shows an overview of the reasons behind returns made over the selected date range. 

 

The Reasons column lists the reasons for the returns made during the selected date range. Note that this column will only list the reasons that were manually entered upon processing the returns during this time frame.

 

Count is the number of partial refunds that are associated with each reason during the selected date range. 

 

Total Refunded is the total dollar amount partially refunded for each reason listed during the selected date range. 

 

Partial Refunds Handled by Employee

 

The Partial Refunds Handled by Employee table shows an overview of team members and the partial refunds they have processed over the selected date range.

 

Employee shows the names of any employees who processed partial refunds during the selected date range. 

 

Partial Refunds Handled is the number of partial refunds processed by each employee during the selected date range.

 

Total Amount Refunded is the total dollar amount the employee refunded for all partial refunds they processed over the selected date range.

 

Team Fulfillment Data

 

The Packer Overview table will help you assess the effectiveness of your staff in fulfilling orders.

 

The Packer column lists the names of each packer who fulfilled products and orders during the selected date range.

 

Orders Fulfilled is the number of orders fulfilled by each staff member during the selected date range. “Order” refers to a package containing more than one item.

 

Products Fulfilled is the number of products fulfilled by each staff member during the selected date range. “Products” refers to packages containing only a single item.

 

Inventory

 

The Inventory Overview (Real-time) table shows an overview of inventory data acquired to date. Date range filters do not affect this table.

 

Inventory Retail Value is the total retail value of all uncarted and unsold items in inventory. Below this number, you will see a breakdown of total inventory retail value by Store and FB. Store refers to the total retail value of all products that can be purchased via the webstore. FB refers to the total retail value of all products that can be purchased through other (non-webstore) channels.

 

Inventory Cost is the total cost of all uncarted and unsold items in inventory. Below this number, you will see a breakdown of total inventory cost by Store and FB. Store refers to the total cost of all products that can be purchased via the webstore. FB refers to the total cost of all products that can be purchased through other (non-webstore) channels.

 

Total Customer Credits is the total dollar amount of credit that customers have available to use. This includes credit obtained from redeeming gift cards.


Gift Cards Total is the total dollar amount of gift cards, broken out by amount unredeemed and amount redeemed.
