Before You Connect


Before you connect your Square account to CommentSold and sync products, there are some necessary setup steps you'll need to take in Square to ensure your sync is a success.

Complete the tasks in the tabs below before proceeding with the steps outlined in this article.

Square Product Settings Square Order Settings

Step 1: Set & Assign Option Sets

Create Option Sets

You will need to ensure all products have an option set assigned (Color and/or Size).

 

  1. Navigate to Items & Services section from the side menu of your Square dashboard
  2. Select the Items > Options from the side menu.
  3. Select Add Options.
  4. Ensure you have a Size Option Set and Color Option Set. You may not use both of them for every product, but you will have to use one or both when adding variations to a product or that product will not sync properly. 

Assign Option Sets to an Item

 

  1. Navigate to Items & Services section from the side menu of your Square dashboard
  2. Select the  Items > Items Library from the side menu.
  3. Select your desired item.
  4. Scroll to Variants section and select Add.
  5. Select an Option Set in the Title field. 
  6. Edit the variants or add another option set if required and select Done.
  7. Select the checkboxes for the required variants and select Create.
  8. Once done, select Save.

Step 2: Enable Item Tracking

You will need to enable item tracking for each product and product variation you wish to sync to CommentSold.

For All Items

Note: This feature is available only to paid Square users. If you’re on a free Square account, you’ll need to set inventory tracking for each item individually.

 

  1. Navigate to Items & Services section from the side menu of your Square dashboard
  2. Select Items > Settings > Inventory from the side menu.
  3. Toggle on Enable inventory tracking for new items.
  4. Toggle on Enable inventory tracking for existing items.

For Individual Items

 

  1. Navigate to Items & Services section from the side menu of your Square dashboard
  2. Select Items > Items Library from the side menu.
  3. Select your desired item.
  4. Scroll to Manage Inventory section and select the three dots.
  5. Select Track by stock count.
  6. Once done, select Save.
Note: To ensure items sync to CommentSold successfully, inventory tracking must be set to Track by stock count. If not, the item will fail to sync to CommentSold.

Enable Square Sync


Step 1: Reach Out to CommentSold Support

First, reach out to CommentSold Customer Support and let us know you want to connect your Square account. Support can enable this functionality for you.

  1. Select Support in the bottom-right corner of your CommentSold dashboard.
  2. Select Get in touch.
  3. Select Live Chat.
  4. In the chat field provided, let our Support team know you're ready to get started with Square.

Step 2: Enable Square in CommentSold

Once Support turns on Square in CommentSold, you can connect your Square account.

 

  1. Select Setup in the side menu of your CommentSold dashboard.
  2. Select Square from the options listed at the top of the page.
  3. Select Connect Square.
  4. Log into Square using your account credentials.
  5. Review Square permissions, then select Allow at the bottom of the page.
  6. Back in CommentSold, select your shop from the Location ID drop-down, then select Update Configuration.

Step 3: Sync Products to CommentSold

During the process of connecting your Square account in CommentSold, you'll sync your products. This is an automatic process that will begin once CommentSold successfully connects with your Square account, but you’ll want to check to ensure it finishes smoothly and review any items that failed to sync. 

You can view the progress of the process in the Square Sync section. This process may take a few minutes depending on the number of items you wish to sync.

Once the sync process is complete, you'll see a Product Synced message along with the total number of products synced. If you wish to ever re-sync your Square products, select Re-sync Square Catalog.

If any items failed to sync, you’ll see a clickable link that will show you the reason for each item failure so you can correct it and resync those items. 

CommentSold will sync the following product data:

  • Product name
  • Product description
  • Product SKU
  • Variants – size and color
  • Inventory quantity
  • Unit Cost
  • Retail Price
  • Primary product image
  • Avalara tax codes

CommentSold will sync the following order details to Square:

  • Order number
  • Items in the order
  • Shipping charges paid
  • Sales tax charged
  • Fulfillment Details
    • Shipped Order: Address, Name, Email, Phone
    • Local Pickup: Address, Name, Email, Phone, Warehouse pickup location
  • Discounts applied to the order

CommentSold does not sync the following from your Square inventory:

  • Product videos
  • Sale prices
  • Product type/classification
  • Assigned categories/collections
  • Product tags
  • Images attached to variants
  • Square product modifiers (add-ons/monograms, etc)
  • Product weight
  • Custom barcodes
  • Appointment services and gift cards
  • Items with any variants of non-US currency
  • Items with any variants without a fixed price
  • Items with any variants not sold per unit
  • Items without tracked inventory counts
  • Deleted inventory
  • Items unavailable at the set location

Troubleshooting

I don’t see an option to sync my inventory or select my Location ID. 

  • This has to be enabled by CommentSold support. Please contact Support to enable this feature. 

Some items failed to sync and the error message says “was not imported because it's not present at this location”

  • You’ll need to ensure the product and its variations are assigned to the specific location you have synced to CommentSold.

Issue: Products not syncing from Square to CS

Is there a sync error for the product?

How do I know?

  1. Under Setup > Square, there will be a clickable link noting the number of products that could not be imported.
  2. Select that link to open the Shop log entry for those items or go directly to the Shop Logs tab.

The error message should display what needs to be changed in the product on Square.

If that link is not present or no log exists, there is no error to reference.

If there is no error message, check the following;

  • Ensure Avalara is enabled and setup correctly in CommentSold.
  • Ensure the items are assigned to the location that is synced with CommentSold.

Issue: Inventory quantity not updating

  • Ensure the product is assigned to the location that is synced to CS.
  • Is the Unit Cost field editable in Square?
    • If so, there must be a value there. This is not required if the field is grayed out.

  • Ensure inventory tracking is turned on for the product in Square.
  • Check for duplicate skus. 
    • CommentSold reads the first 4 digits of the synced SKU from Square and uses that to determine which item to update. When SKUs are longer than 4 digits, or there are many SKUs with the same first 4 digits, there is a chance the items will not sync inventory accurately. We recommend unique 4 digit skus for all items.

Issue: Product image not syncing

  • Ensure that the image is not being used for any other product. Square will not send the same image for more than one product.
  • Ensure the image is the primary image. We only sync the primary image from Square.
  • Make sure the image is a .jpg or .png file. Square also supports .spin and .gif files while CommentSold does not. Images with those file types won’t sync.
  • Check the Unit Cost field of the product in Square. If this is not grayed out but is empty, you must enter a value there. This should resync the product and push the image over.

Issue: Sale price in Square not syncing to CommentSold
There is no current method to put a Square product on sale in CommentSold directly.

You will have to change the retail price in Square and the new price will sync over to CommentSold or create a coupon to discount the product.

Issue: Inventory keeps defaulting to 0 & the product image is disappearing. What’s happening?

If all Square product sync requirements are met, search the SKU in the CommentSold Products tab.

There is likely an item in the Product tab with the same SKU that was created in CommentSold directly and was not deleted before the you integrated with Square. You can tell if a product was created in CommentSold because it will not have the Square icon in the bottom right corner of the product image.

If this kind of duplicate exists, remove it.

Issue: Scheduled sale not applying

Scheduled Sales will not work with Square products.

You will have to change the retail price in Square and it will sync over to CommentSold or create a coupon to discount the product.

Issue: Duplicate or Random SKUs

CommentSold will sync over the first four digits of a SKU.

For variants, if the variant SKUs share the same first 4 digits, we will only sync those 4 digits and the remainder of the SKU is not synced.

If the variant SKUs do not share the same first 4 digits or the Square product has no SKU assigned in Square, we will give the product a SKU in CommentSold.

This can cause what appears to be duplicate SKUs in CommentSold.

Example: Product without identical first 4 digits

Example: Product WITH identical first 4 digits

Error: was not imported because it's not present at this location

Make sure the location set up under Setup > Square matches the location this product is assigned to.

Error: no variants at this location

Make sure the location set up under Setup > Square matches the location this product is assigned to.

Ensure the item has Variations & Options in Square available at the location synced to CommentSold.

Make sure the item has inventory tracking enabled

Issue: Order will not sync to Square

Check these things in this order:

  1. From the Orders tab, select the Sync to Square button in the orders details. If errors appear, address them. 
  2. Make sure the order only contains items that are Square items (no gift cards, Dropship items, or CommentSold created items).
  3. Make sure the items in the order are in the Square location synced to CommentSold.
  4. The variants ordered must still exist (no deleted variants). If the variants have been deleted from Square the order will not sync to Square at all.
  5. The location synced to CommentSold must have delivery and pickup enabled.
  6. Avalara must be correctly set up in CommentSold for orders to sync.
  7. You must have sales tax enabled in Square.

If none of the above are the issue, please contact Support for assistance.

Issue: Can’t fulfill order/create shipping label - weight error

We do not sync the weight of the product from Square. The shop would need to add it to the product directly in the inventory section of the product in CommentSold.

Error: Order could not be exported

  • Check if the order contains items that are not Square items (gift cards, dropship items, or CommentSold created items)
  • Make sure the order only contains items that are in the Square location synced to CommentSold
  • Make sure the variants in the order still exist (no deleted variants)
  • The location synced to CommentSold must have delivery and pickup enabled
  • Avalara must be correctly set up in CommentSold for orders to sync.
  • You must have sales tax enabled in Square.

Issue: Square coupons not syncing over to CommentSold

We do not sync Square coupons to CommentSold. CommentSold coupons can be used for products synced from Square.
