Tracking codes play a critical role in keeping your customers informed and ensuring seamless order fulfillment. The manual tracking code feature allows you to add or update tracking numbers directly in your CommentSold dashboard when automated systems or integrations cannot provide them.

Why Is This Feature Important?

In some cases, tracking numbers may be missing due to:

  • Technical issues or system errors.
  • Special requests, such as custom shipping methods.
  • Integration requirements for platforms like Seel or TikTok.

Manually adding tracking codes allows you to:

  • Ensure customers always have access to accurate order updates.
  • Support complex shipping scenarios, such as split shipments or custom delivery needs.
  • Maintain smooth fulfillment operations, minimizing delays or disruptions.

This feature empowers you to take control of your order management and deliver a better customer experience, even in unique or challenging situations.

Add a Tracking Code

  1. Navigate to your CommentSold dashboard and select Orders/Fulfillment from the side menu.
  2. You can filter the orders with products missing tracking numbers or select and open your desired order. If a tracking number is missing from the products in the order, they will be marked in red.
    • When attempting to mark an order as fulfilled, a warning message will prompt you to add the tracking number if missing in the products or orders.
  3. Select the green Add Tracking button.
  4. In the pop-up, enable the Apply Tracking Number to All Products checkbox to add a single tracking number for all the products in the order.
    • If disabled, you'll need to manually enter a tracking number for each product in the order when it contains multiple items.
  5. Enter the Tracking Number for the order or individual products in the order.
  6. Select Save.

How Customers Access Tracking Codes

When a tracking code is manually added:

  • Order History: The tracking number is automatically updated in the customer’s order history.
  • Order Emails: If the shop chooses to resend the order email, the tracking number will be included. However, if a tracking number is added after the order is marked as fulfilled, an email is not triggered automatically.

This ensures customers can access their tracking information via the order history or receive it in an updated email when necessary.

Expected Behaviors

  • Tracking numbers can be added when fulfilling orders individually or in bulk.
  • At this time, tracking cannot be edited or removed once added.
  • The Add Tracking button is disabled once all items in the order have a tracking number associated.
  • You can view all orders missing tracking using the Missing Tracking tab in the Orders/Fulfillment section.
  • If you have “Fulfill All Printed Orders” enabled with this feature, you will receive a Missing Tracking Number Alert (when applicable) when marking orders as printed.
  • Tracking is not required for fulfillment.
  • You can apply a single tracking number to all items in the order at once or add individual tracking numbers for individual items.
  • Tracking numbers added this way before fulfillment will surface to the customer via the order confirmation email.
  • Tracking numbers added this way after fulfillment will not resend the email to the customer automatically. You can click the “Resend Order Fulfilled Email” button in the order details to resend the email with the tracking number to the customer.
  • The order history section of the customer account will update and show the tracking whether it is added before or after fulfillment.

Troubleshooting

Expand this section to know about the common errors and how to troubleshoot them.

Error: The tracking number has already been taken

The tracking number is already assigned to an order/item in CommentSold. To avoid issues with shipping integrations or inaccurate tracking of orders, tracking numbers from other CS orders cannot be added to another order.

If you would like to add the items in an order to the shipping label for an existing order, you can remove the label from the order and create a new combined order label.
