About Waitlist Reports and Exports
Waitlists allow shoppers to express interest in a retailer's sold-out products. By adding a product to their waitlist, shoppers can receive a notification when the retailer restocks the product.
CommentSold offers multiple ways to view waitlist details including the Waitlist page, Waitlist Report, and Waitlist CSV exports.
- Waitlist Page. This page gives retailers a broad overview of currently waitlisted products and options to manage waitlists and provide updates on restock status for each. We do not recommend using this for reporting, but you can use this to gain a "big picture" of demand and estimated reorder profit. Learn more about managing waitlist products here.
- Waitlist Report. This report gives retailers quick insight into waitlists and preauthorizations based on customers, products, price, variants, and preauthorization status for a defined date range.
- Waitlist Exports. CommentSold offers two waitlist exports–the Waitlist Report (CSV #16) and the Waitlist by Variant Report (CSV #16A). The Waitlist Report contains the same data as the Waitlist Report mentioned above while the Waitlist by Variant Report shows all waitlisted products based on brand/vendor with variant (e.g., color, size, material, etc.) details.
In this article, we'll walk through how to run the Waitlist Report and how to export Waitlist CSVs.
How Waitlist Reports Benefit Your Business
- Use shopper waitlist and preauthorization numbers to determine whether to reorder a product.
- Assess the risk level of reordering a particular product by viewing the number of shoppers who added the product to their waitlist.
- Quickly see the number of shoppers who have preauthorized the immediate purchase of the product once restocked.
Run the Waitlist Report
- Select Reporting in the side menu of your CommentSold dashboard.
- Select Waitlist from the report options listed at the top of the page.
- Select column headers to reorder rows in ascending or descending order.
- Use the Search field in the top-right corner of the report to locate a specific product.
The Waitlist Report provides the following details:
- Image. Displays a thumbnail of the waitlisted product taken from the product record.
- User. Displays the name of the customer who waitlisted the product. You can select the customer name to open the customer record in a new browser tab.
- Product. Displays the name of the waitlisted product. You can select the product name to open the product record.
- Price. Displays the retail price for the waitlisted product.
- SKU. Displays the SKU assigned to the waitlisted product.
- Color. Displays the waitlisted color variant for the product, if applicable.
- Size. Displays the waitlisted size for the product, if applicable.
- Pre-Authorized. If a customer has preauthorized the product, this column will display a Yes. You can select the Only show Pre-authorized checkbox in the top-left corner of the report to only view those products which customers have preauthorized.
- Date Added. Displays the date and time the customer added the product to their waitlist.
Export Waitlist and Waitlist Variant Reports
- Select Reporting in the side menu of your CommentSold dashboard.
- Select CSV from the report options listed at the top of the page.
- Define your Start Date and End Date in the fields provided, then select the Retrieve button.
- Scroll and locate CSV #16, the Waitlist Report, or CSV #16A, the Waitlist by Variant Report.
- Choose whether to View the report or Generate and Email.
- View. Download a copy of the CSV report to your device.
- Generate and Email. Send an email to your shop's primary email address that contains a link to download the report.
The Waitlist Report export contains the same information listed on the Waitlist Report discussed above (minus the image thumbnail).
The Waitlist by Variant Report export offers more granular insight into waitlisted products. It also includes waitlist and preauthorized waitlist volumes which can help retailers decide which products to restock based on promised revenue (preauthorized) and potential revenue (waitlist).
- SKU. Displays the SKU assigned to the product.
- Product Name. Displays the product name.
- Color. Displays the color variant for the waitlist product.
- Size. Displays the size variant for the waitlisted product.
- Brand Style. Displays the style code assigned by the brand.
- Total Waitlisted. Displays the total number of times customers have waitlisted the specific variant combination (i.e., color and size) of the product. This total includes regular waitlists and preauthorized waitlists.
- Regular Waitlisted Total. Displays the number of customers who have waitlisted the specific variant combination (i.e., color and size) of the product.
- Waitlist Pre-Authorized Total. Displays the number of customers who have preauthorized the specific variant combination (i.e., color and size) of the product.
