Learn how to run a CommentSold Waitlist Report and export waitlist data by customer, product, variant, and preauthorization status.

Waitlists help shoppers express interest in sold-out products and receive notifications when products are restocked. CommentSold provides a Waitlist Report and two CSV exports to help you analyze waitlist demand and make restocking decisions.

Which Waitlist Report Should I Use?

CommentSold provides three ways to review waitlist information:

• Waitlist Page: Provides a broad view of currently waitlisted products. Use it to understand overall demand and estimated reorder profit rather than for detailed reporting.
• Waitlist Report: Shows waitlist and preauthorization information by customer, product, price, variant, and date.
• Waitlist CSV Exports: Provides downloadable waitlist data for further analysis.

There are two waitlist CSV exports:

• CSV #16 – Waitlist Report: Contains the same core information shown in the Waitlist Report.
• CSV #16A – Waitlist by Variant Report: Provides more detailed waitlist information by product variant, including color, size, brand style, and waitlist volumes.

How Can Waitlist Reports Help With Restocking?

Use waitlist data to:

• Measure demand for sold-out products.
• Determine whether a product is a good candidate for reorder.
• Assess reorder risk based on the number of shoppers waiting for a product.
• Identify how many shoppers have preauthorized a purchase.
• Compare potential revenue from regular waitlists with promised revenue from preauthorized shoppers.

Run the Waitlist Report

1. Select Reporting in the side menu of your CommentSold dashboard.
2. Select Inventory from the report options listed at the top of the page.
3. Define your Start Date and End Date in the fields provided, then select the Retrieve button.
4. Scroll to Waitlist drop-down and expand to view the report.

The Waitlist Report provides the following details:

• Customer. Displays the name of the customer who waitlisted the product. You can select the customer name to open the customer record in a new browser tab.
• Product. Displays the name of the waitlisted product. You can select the product name to open the product record.
• Variant. Displays the size and color of the variant.
• Price. Displays the retail price for the waitlisted product.
• Status. If a customer has Preauthorized the product or if it is still Pending.
• Date Added. Displays the date and time the customer added the product to their waitlist.

Export Waitlist and Waitlist Variant Reports

1. Select Reporting in the side menu of your CommentSold dashboard.
2. Select CSV from the report options listed at the top of the page.
3. Define your Start Date and End Date in the fields provided, then select the Retrieve button.
4. Scroll and locate CSV #16, the Waitlist Report, or CSV #16A, the Waitlist by Variant Report.
5. Select Generate and choose whether to View the report or to Email.
   • View. Download a copy of the CSV report to your device.
   • Email. Send an email to your shop's primary email address that contains a link to download the report.

The Waitlist Report export contains the same information listed on the Waitlist Report discussed above (minus the image thumbnail).

The Waitlist by Variant Report export offers more granular insight into waitlisted products. It also includes waitlist and preauthorized waitlist volumes which can help retailers decide which products to restock based on promised revenue (preauthorized) and potential revenue (waitlist).

• SKU. Displays the SKU assigned to the product.
• Product Name. Displays the product name.
• Color. Displays the color variant for the waitlist product.
• Size. Displays the size variant for the waitlisted product.
• Brand Style. Displays the style code assigned by the brand.
• Total Waitlisted. Displays the total number of times customers have waitlisted the specific variant combination (i.e., color and size) of the product. This total includes regular waitlists and preauthorized waitlists.
• Regular Waitlisted Total. Displays the number of customers who have waitlisted the specific variant combination (i.e., color and size) of the product.
• Waitlist Pre-Authorized Total. Displays the number of customers who have preauthorized the specific variant combination (i.e., color and size) of the product.

How Should I Use Waitlist and Preauthorization Data?

Use Total Waitlisted to understand overall demand for a specific variant.

Compare Regular Waitlisted Total with Waitlist Pre-Authorized Total to distinguish between potential demand and shoppers who have already preauthorized a purchase.

This can help you prioritize restocks based on:

• Potential revenue: Regular waitlist demand.
• Promised revenue: Preauthorized waitlist demand.
• Variant-level demand: Specific color and size combinations with the most interest.

How do I export a Waitlist Report?

Go to Reporting > CSV, enter your date range, select Retrieve, and find CSV #16 – Waitlist Report. Choose View to download it or Generate and Email to receive a download link by email.

What is the difference between a waitlist and a preauthorized waitlist?

A regular waitlist indicates that a shopper wants to be notified when a product becomes available. A preauthorized waitlist indicates that the shopper has preauthorized an immediate purchase when the product is restocked.

Can I filter the Waitlist Report to preauthorized shoppers?

Yes. Select Only show Pre-authorized at the top of the Waitlist Report.
